Job Description:

We are actively recruiting on behalf of our client, a nationally recognised logistics and distribution leader, for a reliable and detail-oriented Administrator to support their Bicester depot. This is a pivotal role within a high-volume, time-critical environment where precision, communication, and coordination are paramount. The successful candidate will be part of a growing operation that underpins the successful movement of goods across the UK.

Working on a 4 on 4 off shift pattern (with both day and night shifts available), the Administrator will be responsible for delivering high-quality administrative support across a broad range of logistics functions. This includes coordinating transport schedules, managing driver paperwork, updating internal systems, and ensuring full compliance with operational policies and regulatory standards.

This is not just a desk-based role — it’s a hands-on opportunity to directly support the frontline logistics operation, with regular interaction across planning, transport, compliance, and warehouse teams. Your ability to multitask, remain composed under pressure, and handle sensitive operational data with discretion will be key to success.

Your responsibilities as an Administrator include:

  • Oversee and coordinate daily driver dispatches, job sheets, and return documentation
  • Accurately input and update data into Transport Management Systems (TMS) and internal reporting tools
  • Manage incoming communications including emails, calls, and internal messages, ensuring timely follow-ups
  • Monitor driver hours, vehicle checks, and compliance logs to support regulatory adherence
  • Support incident reporting, vehicle defect tracking, and shift handovers with detailed documentation
  • Assist with the onboarding and briefing of agency and permanent drivers as required
  • Maintain organised records and filing systems in line with GDPR and audit requirements

The requirements as an Administrator include:

  • Experience in a logistics, transport, or warehouse administration role is desirable but not required
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Strong written and verbal communication skills
  • Excellent organisational and time management abilities
  • High attention to detail and accuracy
  • Proactive problem-solving skills
  • Understanding of compliance standards and transport regulations (desirable)
  • Adaptable and able to perform under pressure in a fast-paced environment
  • Willingness to work a 4 on 4 off shift pattern (days or nights)

Shift Times:

This role is offering either a day shift or night shift.

Day shift - 4 on 4 off pattern working 06:00 to 18:00

Night shift - 4 on 4 off pattern working 18:00 to 06:00

PAY RATES:

£14.00 per hour

Start Dates / Induction Process:

Upon application you will be expected to attend an interview to access your fitment for this role. After a successful interview you will be given the opportunity to choose either Day or Night shifts and will be assigned your first shift where relevant training on systems and processes will be given to you.
