G-force is looking for a Practice Manager to start in Oxford


The Firm

Four partner full service solicitors practice based in Oxfordshire.   Total staff of approximately 40 based across two offices in Oxford and Bicester. The role will be based in the Oxford office.

The Role

Our client is seeking a Practice Manager to be based in their Oxford office. They will report to the Partners and salary dependent upon experience. The role will encompass elements of HR, facilities and office management, compliance and marketing. There is now a need for a dedicated Practice Manager to supervise the day to day operations of the business and provide support to the Partners to whom the Practice Manager will report.

HR Function

The successful candidate will: 

  • Assume individual responsibility for management of the firm’s administrative team currently comprising of 17 secretaries, reception staff and 2 admin/finance assistants.

  • Supervise and coach all of those reporting directly to him/her on a day to day basis.

  • Training of staff on internal processes

  • Manage all personnel files (fee earners and administrative staff) to include induction, contracts, grievances, disciplinary and absences (ill health or holidays) whilst ensuring appropriate cover at all times.

  • Manage recruitment including identification of role vacancies, preparation of job specifications, advertising, interviewing and assessing candidates.

  • Assisting partners with appraisals.

  • Contributing to and managing staff social activities.

  • Dealing with issues relating to maternity and paternity leave.

  • Ensuring compliance with Employment Law and Health and Safety Legislation.

 

 IT/Office Administration and Premises Management Functions

  • Dealing with relevant insurances including buildings, public liability, employer’s liability.

  • Develop and monitor procedures to ensure office security and disaster recovery/business continuity plans.

  • Monitor all property, expenses and utilities including rates, light, heat and telephone.

  • Keep register of fixtures and fittings and ensure that they are properly maintained.

  • Negotiations with suppliers.

  • Dealing with office supplies.

  • Dealing with maintenance of phones, printers, computers etc and liaising with IT providers.

  • Assist with credit control

 

Marketing and Business Development Opportunity

  • Assist the Partners and fee earners with marketing, including social media and the firm’s website if and when required.

 

Experience and Personal Requirements

  • Specific experience within a good quality private practice law firm or similar professional practice.

  • An awareness of the appropriate regulations.

  • Strong IT and organisational skills.

  • Experience in managing staff.

  • Confident and enthusiastic

  • Strong leadership skills with the ability to command respect quickly but avoiding confrontation.

  • Positive, ambitious attitude.

  • Reliable, committed, loyal and hardworking.

  • A pragmatic problem solver.

 

Specifications

  • The role is Monday to Friday
  • 8:30-17:00
  • £30-35k annually (depending on experience)
